Trust Relationship Officer
Role Overview
To provide high-quality trust and fiduciary services to Ultra and High Net Worth (UHNW/HNW) clients. The role supports the servicing and operational maintenance of trust and estate relationships and provides guidance to Trust Relationship Managers to ensure trust and company structures are administered in accordance with governing documents, including Trust Deeds, Memorandum & Articles of Association or equivalent, applicable laws and regulations, and internal policies and standards.
Key Responsibilities
Client Service & Relationship Support
- Support the ongoing service of UHNW/HNW trust and estate relationships, responding to client requests and coordinating with internal and external stakeholders as needed.
- Provide operational support to Trust Relationship Managers on complex trust and estate portfolios.
Oversight of Trust & Company Administration
- Guide and support one or more Trust Relationship Managers to ensure accurate execution of trust and company activities in accordance with governing instruments and relevant jurisdictional requirements.
- Maintain strong file hygiene, documentation, and record-keeping standards across client structures.
Client & Group Reporting
- Monitor and ensure timely completion of client reporting at the required frequency.
- Coordinate reporting such as valuations, annual financial statements, investment information, tax/technical reports, and ad hoc reporting, as applicable.
- Ensure required internal and Group reporting is completed accurately and on time.
Risk Management, Due Diligence & Compliance
- Ensure due diligence and compliance requirements are consistently followed within the team.
- Support KYC/AML requirements and ongoing client monitoring obligations.
- Escalate issues, breaches, and emerging risks promptly and support remediation activities.
Management Information & Operational Support
- Provide management reporting and support on technical and operational matters.
- Participate in projects, process improvements, and initiatives designed to enhance operational efficiency and service quality.
Commercial Discipline & Opportunity Identification
- Review client relationships and trust structures to identify appropriate new business opportunities.
- Support pricing for new and existing trust cases, ensuring services are appropriately scoped and commercially sound.
- Demonstrate strong commercial awareness while maintaining a client-focused approach.
Specialist Support
- Develop or support specialist offerings, where applicable, such as Philanthropy, Legacy Wealth Planning, or Probate Services.
- Align specialist services with client requirements and broader business priorities.
Knowledge, Skills & Experience
- Experience in trust or fiduciary administration and client servicing within a regulated financial services environment.
- Working knowledge of trust and company structures, governing documentation, and applicable jurisdictional requirements.
- Strong understanding of due diligence, KYC/AML requirements, and operational risk controls.
- Ability to manage multiple priorities and deadlines while delivering accurate, high-quality reporting.
- Excellent written and verbal communication skills with confidence in handling client queries and coordinating with stakeholders.
- Strong commercial awareness, including pricing support, opportunity identification, and understanding client needs.
- Ability to coach, guide, and support Trust Administrators while contributing to a collaborative team environment.
Qualifications
- Bachelor of Arts (BA) or Bachelor of Science (BS) preferred.
- Prior trust experience required.
Key Relationships
- HNW/UHNW clients and their professional advisers, including attorneys, tax advisers, and investment managers.
- Trust Officers, Trust Administrators, and fiduciary operations teams.
- Compliance, Risk, Finance, Legal, and other internal business partners.
- External service providers and relevant jurisdictional parties, as required.
Success Measures
- On-time and accurate delivery of client and internal reporting.
- Strong compliance outcomes, including timely due diligence, clean audit findings, and effective issue escalation.
- High-quality administration of trust and company structures with minimal errors and rework.
- Positive client feedback and effective support of Trust Officers on complex cases.
- Appropriate identification and progression of business opportunities.
- Consistent adherence to pricing and commercial discipline.
