Role Overview
The hiring manager is seeking an experienced Executive Assistant to provide executive administrative support for the New York region. This position will support the New York team of Private Bankers and other ancillary Private Banking team members.
What You’ll Be Doing
- Provide confidential administrative and secretarial support activities aligned with the needs of the assigned area.
- Research information and data while maintaining department records and filing systems.
- Develop and produce reports and presentations for senior stakeholders.
- Prepare letters, reports, memoranda, forms, and schedules using PC-based software packages and other typing equipment.
- Compose written materials from general outlines or using independent judgment and initiative as appropriate.
- Schedule appointments and meetings and coordinate travel and accommodations, including bookings through American Express Global Travel.
- Screen mail, correspondence, phone calls, and visitors, taking appropriate action using sound judgment and initiative.
What We’re Looking For
- 4 to 6 years of experience supporting front-line sales teams.
- Comfort working in a fast-paced environment.
- Proven administrative or secretarial experience, or equivalent experience.
- Strong typing skills and proficiency with personal computers, relevant systems, and software packages.
- Strong customer service, problem-solving, organizational, and time-management skills.
- Ability to anticipate the needs of senior or executive managers and prioritize effectively across competing requests.
- Ability to work independently and manage a broad range of responsibilities with minimal day-to-day guidance.
- Strong communication skills with the ability to interact courteously and effectively with personnel at all levels.
- Ability to exercise discretion and maintain confidentiality when handling sensitive matters.
- Extensive knowledge of company policies and practices, or equivalent demonstrable experience.
